Missing information or a design discrepancy? Reading report-to-drawing audits
Use CIM Build’s report-to-drawing findings to separate a missing source, a conflicting requirement and evidence that still needs review before assigning the next action.
A finding that says a requirement could not be verified needs an evidence check. The source may be missing, two documents may disagree, or the available drawing extract may leave the question open. Each situation calls for a different response.
Start with the documents included in the review. Then open the cited report clause and drawing reference, confirm that they apply to the same requirement, and record what you can establish. A finding helps the team investigate; it does not certify compliance.
The examples below use synthetic records. The panels illustrate the review information to retain. Their arrangement and labels may differ from the live interface.
Start with the scope of the audit
CIM’s report compliance checks compare consultant reports with drawings and specifications and return findings linked to source material. Before acting on a result, establish which reports, certificates, specifications and drawing issues were available for that review.
Check that the source is the intended issue and covers the building, location or system in question. A later report may amend an earlier requirement. A certificate for another stage may leave the current stage outside its scope. Ask the document controller or design lead to confirm uncertain applicability.
If a result is labelled “unaudited” or similar, confirm what that label means for the particular review. Establish what ran, which inputs were available and what remains unchecked. The label alone does not establish why the review is incomplete or whether a design issue exists.

EX-01
Glazing performance unverified
The nominated energy certificate is absent from the review set.
Obtain the applicable certificate and check which drawings it covers. Keep the result unresolved.
EX-02
Two stated ratings differ
Acoustic report AR-01 Rev B: Rw 35. Window schedule A-702 Rev C: Rw 30 for the same nominated windows.
Verify applicability, issue dates and any accepted amendment. Raise a query if the conflict remains.
EX-03
Hydrant provision needs checking
A symbol is shown on F-101, but its identity, coverage and relation to the cited requirement still need review.
Read the legend, surrounding notes and applicable fire documentation before accepting or dismissing the finding.
These are editorial review categories. Their names and the example records illustrate a review practice. The arrangement and field labels illustrate the review information; the live interface may differ.
Missing source: obtain the requirement before judging the response
Suppose a glazing finding says performance could not be verified, but the nominated energy-performance certificate was never supplied. There is a gap in the review inputs. That finding alone cannot establish that the glazing shown on the drawings fails a requirement.
Obtain the applicable certificate, confirm its issue and scope, and identify the actual glazing requirement. Then check the relevant window schedule, drawing notes and specification against it. Where another document states a requirement, retain that reference separately rather than assuming it fills every gap left by the missing certificate.
Keep the finding unresolved while the source is missing. Assign someone to obtain it and record which part of the review remains limited. Once the document is available, repeat the relevant check in CIM and have the reviewer confirm the evidence.
Requirement conflict: check that both requirements apply
In the synthetic EX-02 example, an acoustic report calls for Rw 35 while a window schedule states Rw 30 for the same nominated windows. There are two stated values to reconcile.
Open both sources. Check the window references, locations, issue dates, notes and any accepted amendment. A value for a different façade, room or construction detail may not apply to the item being reviewed. A disagreement that remains after those checks should go to the responsible design party for clarification.
Retain the requirement and the drawing response with the finding. State what differs and ask a specific question. “Please confirm the required rating for the nominated windows and coordinate the schedule and specification” is more useful than closing the item on the assumption that either source takes precedence.
Insufficient evidence: inspect the drawing before accepting the finding
A finding may suggest that a hydrant is missing when a hydrant symbol is visible elsewhere on the drawing. Inspect the full source sheet, its legend and surrounding notes. Confirm what the symbol represents and whether it addresses the requirement cited by the audit.
The symbol’s presence may resolve a location question while leaving coverage, specification or another requirement open. Equally, the finding may be a false positive once the correct sheet and context are considered. Record the reviewer’s conclusion and the evidence supporting it.
Do the same when a reference box is too narrow, a note is difficult to read or the needed information sits in another discipline’s set. Obtain enough evidence to decide. Avoid treating a limited extract as a complete account of the design.
Keep the review decision with the finding
Use CIM’s registers to work through findings with their source references, owners and statuses. Keep a review record alongside the finding that explains what was checked, the remaining evidence gap and the action assigned. Exact field availability should be confirmed in the product.

For a missing source, the next action may be a document request. For a continuing conflict, it may be a clarification to the design team. For a false positive, retain the source that supports closure. A finding should remain open when the evidence does not yet support a decision.
Prioritise items that affect procurement, repeated details or work about to proceed. Let the responsible professionals determine design adequacy and compliance. An automated audit cannot guarantee that every discrepancy will be found.
Why the audit needs a connected review workflow
A report clause, a drawing response and the person who must resolve the question often sit in different records. When the team copies each finding into a separate tracker and writes a fresh clarification from memory, the report issue or drawing revision can fall away from the question. The next reviewer has to reconstruct the same evidence.
CIM’s purpose-built review workspace connects the viewer, source-linked findings registers and project documents and workbooks. For EX-02, keep the acoustic clause and schedule reference with the finding while the design reviewer checks applicability. Assign the next action from that evidence, so the document controller, design lead and commercial team can follow what was checked and what remains open.
The assistant can help frame a review question using a selected finding and the relevant project information available to it. Confirm its available context and check the response against the actual report and drawing. For EX-01, the useful next action is to obtain the missing certificate; an assistant response cannot supply evidence from a document the review does not have.
Where enabled, AI-suggested RFIs draft the question and supporting references from the finding for human review. RFI drafting is in beta; confirm availability with the CIM team. For a continuing rating conflict, check the draft against both sources before issuing it through the team’s process. For a missing source or a false positive, a document request or evidence-backed closure may be the appropriate action instead.

The value is continuity: the source behind the finding stays with the register item and the reviewed next action. The team spends less effort re-entering references and can concentrate on resolving the requirement. The connected workflow still depends on complete inputs and professional judgement.
Frequently asked questions
Does “unverified” mean the design is non-compliant?
The finding needs an evidence review. Check whether the applicable source was supplied, whether the cited requirement applies and whether the drawing response can be established. Record a compliance conclusion only through the appropriate professional review process.
What should I do if the report or certificate was not uploaded?
Obtain the applicable issue, record the limit on the current review and repeat the relevant check when the source is available. Keep the item unresolved until the reviewer has enough evidence.
What if the item is already shown on the drawings?
Inspect the full sheet, legend, notes and cited requirement. Record whether the drawing resolves the finding, resolves only part of it or still needs clarification. Retain the supporting reference with the decision.
Does a CIM report-to-drawing audit certify compliance?
The audit provides findings for review. Qualified project professionals remain responsible for assessing the applicable requirements, design adequacy and any certification required for the project.
